Insight360 Accounting — Purchase Module
Purchase & Expense Management Software for UAE Businesses
Manage your full procure-to-pay cycle in Insight360 Accounting — purchase orders, goods receipt, supplier bills, AI receipt scanning and payments. Everything posts to your books and feeds your VAT return.
Procure to Pay in Four Steps
Or book a direct expense in one screen — every document posts to the general ledger and your VAT return.
Snap a Receipt, Skip the Typing
Drop a supplier invoice or receipt — JPG, PNG or PDF — and Insight360 Accounting's AI reads the fields and even suggests the right GL account. You review and post; the receipt stays attached to the expense for audit.
Available on Professional and Premium plans.
Drop a receipt to scan
OCR reads the vendor, dates, amounts and VAT, and auto-suggests a GL account — you review, then save.
Scan a vendor's trade licence or TRN
Onboard a supplier instantly, with the TRN captured for your input VAT.
One-off or linked vendor
Capture a vendor as free text for a one-off receipt, or link to a full supplier record — your choice.
The Accounts-Payable Side of Your Business
From raising a purchase order to paying the bill — connected to inventory and the general ledger.
Vendors
Supplier accounts with payment terms, currency, contacts, bank details and KYC documents — plus VAT/TRN with a verified flag.
Purchase Orders
Raise and approve POs with an expected delivery date and reference; mix item and expense lines, and track Draft, Approved, Partially and Fully Received.
Goods Receipt
Receive against a PO or manually, recording received, accepted and rejected quantities by stock location, with item or service lines.
Supplier Bills
Enter bills from a goods receipt or directly, capturing the vendor’s own invoice number and date, with due dates — all posted to the ledger.
Expenses
Book direct cash, bank or card spend with OCR receipt scanning, tax exclusive/inclusive, itemisation, cost centre and vendor TRN for input VAT.
Payments & Debit Notes
Pay by cheque, bank or cash with the paid-from account, allocate across bills, and raise returns and debit notes that reverse the books correctly.
Know Every Supplier at a Glance
Set up each supplier once — legal name, tax classification, VAT/TRN with a verified flag, payment terms and currency — with multiple contacts, bank details and KYC documents on their own tabs.
Then watch it live: outstanding balance with an overdue count, year-to-date purchases, open bills and average days to pay, accounts-payable aging, a printable statement, and a full history of the supplier's purchase orders, receipts, bills, expenses and payments.

Receive What You Ordered — and Check It
Raise a purchase order with approval and an expected delivery date, then receive against it. On goods receipt, record received, accepted and rejected quantities by stock location — so only good stock enters inventory at the right cost.
Turn the receipt into a bill that captures the vendor's own invoice number and date, and allocate landed costs like freight and customs into item cost.
- Received, accepted and rejected quantities
- Receive against a PO or as a manual receipt
- Item and service lines, by stock location
- Vendor invoice number and date on every bill
- Landed costs allocated into item cost
Pay Suppliers, Reconcile Cleanly
Record a payment by cheque, bank transfer or cash, choose the account it's paid from, and allocate it across outstanding bills. For cheques, capture the cheque number, drawee bank and cheque date.
Disagree with a bill? Raise a debit note to the right account and apply it against the bill; return goods and the purchase return reverses inventory and VAT.
- Cheque, bank or cash — with paid-from account
- Cheque number, drawee bank and cheque date
- Allocate one payment across many bills
- Purchase returns reverse inventory and VAT
- Debit notes apply to outstanding bills
- Print, download or email the document
Built into every purchase document:

Purchase & Payables — FAQ
- How is this different from Insight360 Purchase?
- The purchase module in Insight360 Accounting is the procure-to-pay and accounts-payable side of your accounting — purchase orders, supplier bills, expenses and payments that post to your ledger. Insight360 Purchase is a separate product built specifically for school procurement with a vendor self-registration portal and catalog.
- Can I scan supplier invoices and receipts?
- Yes. Drop a supplier invoice or receipt (JPG, PNG or PDF) and the AI reads the fields and even suggests the right GL account. You review and post, and the receipt stays attached to the expense.
- Does it track what I owe each supplier?
- Yes. Each supplier has accounts-payable aging (Current, 1-30, 31-60, 61-90 and 90+ days), outstanding bills, a printable statement, year-to-date purchases and average days to pay.
- Can I check goods before they hit inventory?
- Yes. On goods receipt you record received, accepted and rejected quantities by stock location, so only good stock enters inventory at the right cost.
- How do I pay suppliers?
- Record a payment by cheque, bank transfer or cash, choose the account it is paid from, and allocate it across outstanding bills. For cheques you capture the cheque number, drawee bank and cheque date.
- Does it handle purchase returns and debit notes?
- Yes. Purchase returns reverse inventory and VAT, and debit notes post to the right account and apply against outstanding bills.
